How to transcribe a Zoom, Meet, or Teams recording

1. Get the recording file

   Zoom saves local recordings as MP4 (video) and M4A (audio only); Google Meet and Teams recordings download as MP4 from Drive, OneDrive, or Stream. Any of these works as-is — you do not need to convert it first.

2. Upload it to Transcribe Studio

   Drop the file in. Video is converted to audio on the server before transcription; long recordings are processed in chunks. A one-hour meeting is usually ready in a few minutes.

3. Read and search the transcript

   The transcript is timestamped line by line; click any line to play that moment. Use the browser’s find to jump to a name or a number.

4. Generate the summary

   Run Summary (1 credit) for the TL;DR, key points, action items, and chapters. Paste the action items into your task tracker or the follow-up email.

5. Ask what you missed

   Open Chat and ask about the meeting — deadlines, owners, what was decided. Answers come only from the transcript and cite the timestamp, so you can verify before you act.

What DomeScribe does — and does not — for meetings

DomeScribe is a recording-first tool. You upload the file your meeting app produced, and DomeScribe turns it into a transcript and the text you need afterwards: a summary, action items, chapters, and a chat you can question. It is a good fit for the meetings you record anyway — client calls, interviews, weekly syncs, lectures, and webinars — and for recordings someone sends you.

It is not a meeting assistant. There is no bot that joins Zoom, Google Meet, or Teams, no calendar connection, no live transcript during the call, and no notetaker that emails the room afterwards. The transcript also has no speaker labels: lines are timestamped but not attributed, so in a two-person call you will recognise who is speaking from context, and in a larger meeting you should note the speaker where it matters.

Which files to upload from Zoom, Meet, and Teams

Zoom’s local recordings produce an MP4 and, in the same folder, an audio-only M4A — upload either; the M4A is smaller and transcribes identically because DomeScribe extracts the audio from video anyway. Zoom cloud recordings, Google Meet recordings (saved to Drive), and Teams recordings (OneDrive, SharePoint, or Stream) download as MP4. If you recorded on a phone or a voice recorder, MP3, WAV, and FLAC are accepted too.

Per-file length limits apply: 30 minutes on the free plan, 4 hours on Pro, 8 hours on Business. A long all-hands or a half-day workshop fits on Pro. Turning a transcript into minutes, decisions, and action items

The Summary is written only from the transcript: a short TL;DR, the key points in the order they came up, an action-item list, and timestamped chapters you can use as an agenda-after-the-fact. Because every item traces to a moment in the recording, you can click through to confirm who committed to what before it goes into a follow-up. The summary costs 1 AI credit; every account starts with 5, and Pro includes 300 a month.

For anything the summary did not surface, Chat is the faster route than re-listening. Ask a specific question — “what date did we agree for the launch?”, “what were the objections to the new pricing?” — and the answer cites the timestamp. Questions outside the recording are declined rather than answered from general knowledge, which is what you want from a tool you are relying on for minutes. Four answered questions cost one credit; repeating a question is free.

Languages and accuracy

Transcription runs in 99 languages with automatic detection, so a meeting held in Spanish or German transcribes without a setting change. Accuracy follows the recording: a headset microphone and one person speaking at a time transcribe cleanly; a conference-room speakerphone with cross-talk produces more errors. The transcript sits beside the player so you can check a number or a name in seconds. DomeScribe does not translate; the transcript is in the language spoken.

Confidentiality: where the recording goes

Meeting recordings are often the most sensitive files a team has, so the chain of custody is worth stating plainly. The upload goes to DomeScribe’s servers, is transcribed by a speech-recognition model, and the original file is deleted after transcription. The transcript is encrypted at rest with a per-user key and auto-deletes after 30 days — or sooner, when you delete it. An audio copy is kept only so you can play the recording inside the app for the transcript’s lifetime; it is never downloadable. DomeScribe does not email anyone about the contents of a recording.
